Don’t assume synchronization is finished simply because you can see the filenames.

Understand OneDrive Files On-Demand
OneDrive can display files on your computer without storing a complete local copy of every file.
This can save considerable disk space, but it is important to understand the difference between files that are available locally and those that require an Internet connection.
If you need certain files while traveling or working without reliable Internet access, make sure they’re configured to remain available on the device.
Don’t Confuse Sync With a Complete Backup Strategy
Cloud synchronization is extremely useful, but synchronization and backup aren’t exactly the same thing.
If a file is accidentally deleted, overwritten, corrupted, or affected by another problem, that change may also synchronize.
Services such as OneDrive provide recovery features that can help in many situations, but businesses should still determine whether their data-protection requirements call for a separate backup solution.

Set Up Your Email
If you use Outlook, install or open the appropriate version and sign in with your email account.
For Microsoft 365 users, much of the mailbox should synchronize automatically from Exchange Online after the account is added.
Depending on the size of the mailbox and the speed of your Internet connection, it may take some time before everything becomes available locally.

Not everyone uses OneDrive.
If your files are stored in another approved cloud platform, install and configure the appropriate synchronization application.
Examples might include business or personal cloud-storage services used by your organization.
After signing in, verify:
- The correct account is being used.
- The appropriate folders are synchronizing.
- Files can be opened.
- Shared folders are available.
- Offline access is configured where necessary.
Avoid installing multiple synchronization applications simply because they were present on the old computer. Configure only the services you actually use.
Test Your Accounts Before Moving On
Before considering cloud and email setup complete, test the services rather than merely confirming that you’re signed in.

Setting up a new computer is a good opportunity to make sure employees are using the organization’s intended storage locations rather than accumulating important company data only on the local PC.
Once your cloud services, email, and Microsoft 365 applications are working correctly, the next step is to connect and test the physical devices you use with the computer.
Step 8: Connect Printers, Monitors, Docks, and Other Devices
Once your files, applications, email, and cloud services are working, connect the hardware you normally use with the computer.
This may include:
- External monitors
- Docking stations
- Printers
- Scanners
- Webcams
- Headsets
- Speakers
- External drives
- Bluetooth devices
- Keyboards and mice
- Card readers
- Specialized business equipment
Don’t wait until you urgently need one of these devices to discover that it hasn’t been configured.
Set Up Your External Monitors
Connect your monitors directly to the computer or through the appropriate docking station.
Windows 11 should automatically detect most displays.
To configure them, go to:
Settings → System → Display
From here, you can:
- Arrange multiple displays
- Choose the primary monitor
- Adjust resolution
- Change display scaling
- Select portrait or landscape orientation
- Extend or duplicate the desktop
If you’re using multiple monitors, drag the displays in Windows so their arrangement matches their physical positions on your desk.
This makes moving the mouse between screens much more natural.
Check the Recommended Resolution
For most monitors, use the display’s recommended native resolution unless you have a specific reason to change it.
If text or interface elements appear too small, adjusting display scaling is usually preferable to lowering the screen resolution.
Set Up Your Docking Station
Modern business laptops frequently connect to monitors, Ethernet, power, USB devices, and other peripherals through a USB-C or Thunderbolt docking station.
After connecting the dock, verify that:
- The laptop is charging.
- External monitors are detected.
- Ethernet works if used.
- USB devices are recognized.
- Audio works through the expected device.
Some docking stations also have their own firmware that may need to be updated.
If the computer manufacturer provides a support utility, check whether it detects applicable docking-station updates.
Connect Your Printer
Windows can automatically detect many modern printers, particularly network-connected models.
Go to:
Settings → Bluetooth & devices → Printers & scanners
Select Add device and allow Windows to search for the printer.
For a network printer, make sure the computer is connected to the appropriate network.

Open several files to verify that the drive is readable.
If an external drive contains your only copy of important information, don’t treat that single drive as a complete backup strategy.
Check USB and Other Specialized Devices
Business computers sometimes connect to specialized equipment such as:

- Label printers

- Barcode scanners
- Smart-card readers
- Security keys

Don’t assume that a device working on the old computer means it will automatically work when plugged into the new one.

However, an external drive that remains permanently connected to the computer has limitations.

Test Your Backup
A backup job showing “successful” is useful, but the real test is whether the information can be restored.
After configuring your backup:
- Confirm that the expected folders or systems are included.
- Allow the initial backup to complete.
- Check for errors.
- Verify that recent data appears in the backup.
- Perform a small test restore if the system allows it.
Try restoring a noncritical file to a temporary location and open it.
That confirms much more than simply seeing a green check mark.
